Privacy Policy

GearPost is offline-first rental-management software for independent rental operators, operated by Henyogames, LLC ("Henyogames," "GearPost," "we," "us"). This policy explains what information we collect, how we use it, and the choices you have. It applies to the GearPost mobile app and the GearPost website at gearpost.net.
1. Information we collect
Account information
When you create a GearPost account we collect your name (if provided), email address, and a password (stored only as a secure hash). If you sign in with Google or Apple, we receive a verified identifier and your email address (and your name on first sign-in with Apple) from that provider — we never see your Google or Apple password.
Business data you enter
To run your shop, GearPost stores the data you create in the app, including:
- Inventory items, categories, rates, quantities, and equipment photos;
- Customer records you add — which may include names, phone numbers, email addresses, and notes;
- Rentals, reservations, deposits (method, amount, check number, status), and condition photos taken at checkout and return;
- Reminder preferences and similar settings.
Information collected automatically
When the app syncs with our servers we receive technical data such as IP address, timestamps, request metadata, and app/diagnostic logs used to operate, secure, and troubleshoot the service.
2. How we use information
- Provide, maintain, and sync the GearPost service across your devices;
- Send SMS reminders (pickup, return-due, overdue) when you enable them;
- Authenticate you and keep your account secure;
- Provide support and respond to your requests;
- Monitor reliability, prevent abuse, and improve the product;
- Comply with legal obligations.
We do not sell your personal information or your customers' personal information, and we don't use it for third-party advertising.
3. Where your data lives
GearPost is offline-first. Data you create is stored locally on your device so the app works without a connection. When connectivity is available, data syncs to our servers (hosted in the European Union) so you can use it across devices, recover from a lost device, and access features that run server-side (such as SMS reminders). You will always see what is pending upload in the app.
4. How we share information
We share information only with service providers ("subprocessors") that help us run GearPost, under contracts that limit their use of it:
- Google & Apple — sign-in (verifying your identity if you choose social login);
- Twilio — sending SMS reminders to the phone numbers you choose;
- Hetzner — server hosting and data storage;
- Stripe — payment and subscription processing, where billing is enabled. Card details are handled by Stripe, not stored by us.
We may also disclose information if required by law, to enforce our terms, or to protect the rights, safety, and property of GearPost, our users, or others. If GearPost is involved in a merger or acquisition, data may transfer as part of that transaction, subject to this policy.
5. Your customers' information
When you add your own customers' details (names, phone numbers, emails) to GearPost, you are responsible for those records and for having any consent needed to store them and to send SMS reminders. For that data, GearPost acts as a processor on your behalf and handles it according to your instructions and this policy. You are responsible for complying with the laws that apply to your business, including messaging-consent rules.
6. Data retention
We keep your information for as long as your account is active and as needed to provide the service. If you close your account, we delete or anonymize your data within a reasonable period, except where we must retain it to comply with legal, tax, or accounting obligations or to resolve disputes. You can request earlier deletion (see below).
7. Security
We protect data in transit with encryption (HTTPS/TLS), store passwords only as salted hashes, scope every account's data to its own organization, and restrict server access. No system is perfectly secure, but we work to protect your information and to limit what we collect in the first place.
8. Your rights & choices
Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. You can:
- Edit most data directly in the app;
- Export your data as CSV from the app's Reports tab;
- Turn SMS reminders on or off per rental;
- Email us to request access or deletion of your account data.

9. Children
GearPost is a business tool and is not directed to children under 16. We do not knowingly collect personal information from children.
10. Changes to this policy
We may update this policy from time to time. When we make material changes, we'll update the "Last updated" date and, where appropriate, notify you in the app or by email. Continued use after an update means you accept the revised policy.
